WCS Permits & Pilot Cars has published another app, the “Pilot Portal,” which will help companies and pilot car drivers while on the road.

The free app provides real-time pilot car information via automated and instant texts and emails once a pilot car is dispatched or once a pilot document is available, such as a route survey. 

Pilot car drivers will only receive the information that pertains to the loads they are escorting, and company’s will receive the information for all pilots required for a specific oversize load in transport. 

For years, WCS’ online permit system has allowed customers to place pilot car orders, and view and download information about those pilots, which has proven to be a valuable tool for drivers and dispatchers. Now the Pilot Portal app brings even more convenience and ease, eliminating the exchange of numerous emails and phone calls.

HOW DOES IT WORK?

Company dispatchers, owners, truck drivers and pilot car drivers can simply request pilot order text message notifications from their pilot car department contact or permit agent. Once a pilot is confirmed, a WCS permit agent will confirm that in the system, triggering an automatic email and text message notifying the company and pilot. 

A WCS agent can also attach other documents to a pilot order, including route surveys and other miscellaneous docs. Once those are “dropped” on the order, text messages and emails will automatically trigger notifying the pilot and company as necessary. 

Pilot car drivers will only have access to the pilots they will provide on an order, keeping information about each load safe and secure and only available to those as necessary. 

Pilot information, route surveys and miscellaneous docs can also be viewed by any company by directly opening the app and entering an order and either a unit number or customer number. Pilots can view the loads they will escort, including start date, start time, pick up and drop off as well as any supporting docs pertaining to the load they will pilot. Any pilots that are pending on an order will be shown in red while confirmed pilots will show in green. As soon as each pilot is approved on an order, a new text message will be sent. Customers can also refresh an order at any time to see any changes in the order status.

Perfect for Dispatchers, Pilot Car Drivers & More

Pilot car drivers, dispatchers and more will benefit from utilizing the Pilot Portal App.

Dispatchers sitting in front of a computer have the convenience of receiving an email notification, while at the same time their driver and pilots, receive a text message when a pilot is confirmed. This automated process means no additional emails need to be exchanged between a dispatcher, truck driver and pilot car driver.

The work load for drivers decreases when utilizing the app as well. A driver can opt-in to receive a text when a pilot is confirmed on any order, so they can be on the same page as their WCS pilot car contact or WCS permit agent, and/or dispatcher at all times.

The text message notification will be waiting for the driver as soon as they can stop to safely view. When a driver opens the link within the text on a mobile device or tablet, the driver can then view, save their pilot information as well as view, download or print any route surveys or supporting documents

Convenience was the main goal of the app, but it does not take the place of any customer receiving direct customer service assistance or communication from the WCS Pilot Car Department or from a WCS permit agent.

Upon initial release, in a small sample of test clients, WCS had 100% satisfaction with the app. After the full release, the app’s downloads took off, and within a 24-hour period, it had a 5-star rating on the App Store and Google Play.

This isn’t WCS’ first innovative tool designed to help drivers and dispatchers.

Four years ago, WCS released the Permit Portal App which provides real-time permit status and notifies dispatchers and drivers via text message or email once a permit is approved and available for download.

For 10 years, WCS has maintained the “Permit Attachment App,” which gives drivers and dispatchers access to permit attachments for the United States and Canada. The free app also includes the option to upgrade to a paid version to view city and county attachments throughout the entire United States.
